(WEST), a dynamic medium size consulting firm with offices across the United States, is looking for a fulltime, experienced Payroll Administrator in our Cheyenne, WY office. Job Description:
The successful candidate will have experience in payroll, accounting and administrative tasks to provide accurate processing, recording and auditing of the company’s multi-state and Canadian payroll, process payroll and tax forms and resolve payroll issues.  The Payroll Administrator will assist with other accounting functions as needed.
  1. Prepare and process bi-weekly payroll for US Company, and provide payroll information to ADP for Canadian company payroll processing.
  2. Review new hires in the payroll system for accuracy and completeness, and set up Deltek Vision log-in credentials.
  3. Review, audit, and post timekeeping records for compliance with established standards.
  4. Implement and oversee effective payroll administration for US, Canadian and other international WEST offices
  5. Evaluate and implement payroll reporting software
  6. Correct overtime coding in accordance with multiple state and province requirements.
  7. Calculate mandatory and voluntary payroll deductions and additions.
  8. Calculate and process garnishments and levies.
  9. Reconcile bi-weekly medical, dental, and vision insurance withholdings and reimbursements.
  10. Calculate and adjust vacation, sick, and other paid leave accruals for part-time employees.
  11. Explain pay advises and withholding to employees.
  12. Calculate and make timely federal, state, and county payroll tax deposits.
  13. Prepare and file monthly, quarterly, and annual tax reports for withholding, unemployment, and worker’s compensation tax accounts for multiple states,
  14. Research and create payroll tax accounts for new states.
  15. Reconcile payroll tax general ledger accounts and make quarterly adjustments.
  16. Complete year end W-2 processing in accordance with IRS regulations.
  17. Prepare state revenue report for our third party accountant for year-end tax returns.
  18. Calculate annual SEP IRA distribution amounts.
  19. Update unemployment rates and wage bases in Deltek Vision.
  20. Maintain payroll records in compliance with applicable legal requirements.
  21. Complete the monthly Billable Hour Report and Temporary Employee Billable Hour Report.
  22. Research and prepare ad hoc reports for management.
  23. Ensure up-to-date knowledge on payroll rules and regulations, and communicate to employees as needed.
  24. Maintain full confidentiality in all payroll and accounting related duties and activities.
  25. Maintain a positive working relationship with WEST employees.
  26. Assist with other accounting duties as needed.   
The Payroll Administrator we are seeking has a great opportunity to help WEST take the next step in our growth as a premier environmental consulting firm.  The successful candidate must be a self-starter who possesses:
  1. Bachelor’s Degree in accounting or business related field. FPC or CPP designation is preferred.
  2. Three to five years of job-related accounting and payroll experience.
  3. Functional knowledge of and ability to operate computer systems such as Deltek Vision, Outlook or Gmail, MS Word, MS Excel, and 10-key adding machine.
  4. Preference will be given to the candidate that has multi-state/international payroll experience.
  5. Knowledge of accounting principles, practices, and software
  6. Ability to understand, explain, interpret, and apply payroll rules and regulations and other work related documents.
  7. Proficiency in, or knowledge of, administrative and clerical procedures, and systems used in a contemporary office environment.
  8. Ability to perform data entry with precision.
  9. Ability to use mathematics to solve problems.
  10. High level of attention to detail in all transactions to ensure accuracy, completeness, and timeliness.
  11. Excellent organizational skills.
  12. Self-motivated with the ability to make independent decisions and work in a fast paced environment by prioritizing and multi-tasking, all while meeting deadlines and maintaining good customer service.
  13. Excellent written and verbal communication skills, with the ability to develop and foster effective communication strategies.
  14. Excellent listening skills with the ability to understand the information or issue presented.
  15. Ability to use logic and reasoning to identify and resolve problems in a timely manner. Gather and analyze information skillfully, and develop alternate solutions, conclusions, or approaches to problems.
  16. Ability to safeguard and handle sensitive and confidential situations and documentation, and maintain a high level of confidentiality.
  17. High level of interpersonal skills with the ability to maintain a positive attitude and interact positively and effectively with management, coworkers, and clients.
  18. Ability to work as a team member to accomplish goals.
  19. Ability to accept guidance and constructive criticism, and to follow instructions from manager and team leaders.
  20. Ability to appear for work on time, demonstrates regular and reliable work attendance, adhere to scheduled work hours, and adhere to company policies.
Successful candidates must be able to pass a background check; a pre-employment drug screen; and a DMV records check that meets WEST’s minimum criteria to operate a motor vehicle on behalf of the company.  A valid driver’s license will be required.  Candidates must adhere to all health and safety requirements.
